Six systems, one brokerage,
and nothing agrees
Most auto transport brokers do not have a software problem so much as a seams problem. Every handoff between tools is somewhere for margin, time and accountability to leak.
Leads arrive from everywhere at once
Spreadsheets, inboxes and a different portal for every lead provider. Nobody can say for certain who owns which lead, or how fast it was worked.
Central Dispatch lives in another tab
Listings are posted by hand on a separate site, then the same order details get retyped back into the spreadsheet. Every copy is a chance to get it wrong.
Pricing comes down to a gut call
Agents quote from memory or from whatever the last load went for. Quote too high and it never converts; too low and the margin disappears.
Contracts go out as attachments
A PDF is emailed, printed, signed, photographed and sent back — if it comes back at all. Chasing signatures is a job in itself.
Messaging happens off the record
SMS goes out from a phone, email from a personal inbox. When you ask how much outreach actually happened, nobody has a number.
You find out the numbers in arrears
Gross profit gets assembled after month close, from exports, by hand. By the time it is accurate it is too late to act on.
One record, from first enquiry to archived order
Lead, quote and order are the same record moving through states. Converting a quote does not copy anything — it changes what the record is. Every integration writes back to it, and every report reads from it.
Leads arrive from everywhere at once. Spreadsheets, inboxes and a different portal for every lead provider. Nobody can say for certain who owns which lead, or how fast it was worked.
Providers post straight into the CRM over the public Lead API, and lead distribution assigns each one automatically by weight, working hours and agent availability.
Central Dispatch lives in another tab. Listings are posted by hand on a separate site, then the same order details get retyped back into the spreadsheet. Every copy is a chance to get it wrong.
Post, edit and unpost listings, search carriers by MC or US DOT and create the dispatch without leaving the order page.
Pricing comes down to a gut call. Agents quote from memory or from whatever the last load went for. Quote too high and it never converts; too low and the margin disappears.
Price Check pulls comparable loads from Central Dispatch Market Intelligence — real listed and dispatched prices for the same lane and vehicle type.
Contracts go out as attachments. A PDF is emailed, printed, signed, photographed and sent back — if it comes back at all. Chasing signatures is a job in itself.
The contract and shipper form generate as PDFs and go out by email or SMS. The customer signs in the browser, with no account and no app.
Messaging happens off the record. SMS goes out from a phone, email from a personal inbox. When you ask how much outreach actually happened, nobody has a number.
Shared SMS and email templates with merge fields, bulk send from any list, and a RingCentral sync that counts messages sent outside the CRM too.
You find out the numbers in arrears. Gross profit gets assembled after month close, from exports, by hand. By the time it is accurate it is too late to act on.
Seven reports run live against the same data the agents work in — gross, margin, net after lead spend and profit after salary and expenses.
Lead spend has no feedback loop. You pay per lead across several providers with no way to tell which of them ever turned into a dispatched order.
The Lead Source Report puts spend, gross, net, ROI and cost per dispatch next to each provider, so you can move budget with evidence.
Everyone can see everything. Generic CRMs are all-or-nothing. Agents browse each other’s books and there is no clean way to separate offices.
Four visibility scopes — none, own, office, all — set per module and per action, enforced on the API and on the route.

Seven stages. One record. No re-entry.
This is the actual lifecycle of an order in Navigo, with the status tabs your team will work from. Select a stage to see what happens in it.
The lead lands and is already assigned
Leads arrive from your providers over the public API, from an Excel import, or entered by hand. Distribution routes each one to an agent immediately.
- Providers post with an API key; external_id makes repeat sends idempotent
- Routing respects relative weight, the agent’s own working window and time zone
- An agent can pause their own intake — the lead moves to the next eligible seat
Built around the work, not around a category
Nothing here is a generic CRM feature with freight vocabulary bolted on. Each capability exists because a broker or a dispatcher loses time without it.
Central Dispatch, natively connected
Your dispatchers stop working in two systems. Posting a load, finding the carrier and creating the dispatch all happen on the order they already have open.
- Post, edit and unpost listings
- Carrier search by name, MC or US DOT
- Create, update and cancel dispatches
Profit you can see mid-month
Gross, margin, net after lead spend and profit after salary and expenses — computed from live orders, so you can act while the month is still open.
- Company Profit with a salary percentage calculator
- Lead Source ROI, spend and cost per dispatch
- Excel and PDF export on every report
Quote against real market data
Agents see what comparable loads actually listed and dispatched for before they name a number — so quotes convert without giving away the margin.
- Comparable loads from Central Dispatch Market Intelligence
- Listed price, dispatched price, distance and dates
- Available as a page and as a modal inside any quote
Contracts signed the same day
The contract and shipper form leave as generated PDFs and come back signed from the customer’s phone. No account, no app, no scanner.
- Sent by email or SMS as a public link
- Signature, timestamp and IP recorded
- Version history with resend and change-of-terms
Leads routed without a coordinator
New leads reach an available agent in seconds instead of sitting in a shared inbox. Nobody has to hand them out, and nothing lands on someone who is off the floor.
- Relative weight per agent, not a rigid queue
- Per-agent receiving window in the agent’s own time zone
- Self-service pause that admins cannot override
Outreach that actually gets counted
Templates keep every agent on-message, bulk send covers a whole list at once, and the RingCentral sync captures messages sent outside the CRM.
- SMS and email templates with merge fields
- Bulk send across selected leads, quotes or orders
- RingCentral SMS log synced every 15 minutes
Access defined to the action
Build the role, not the exception. Each module and action gets its own visibility scope, enforced by the API and by the router alike.
- Scopes: none, own, office, all
- Per-module, per-action permission matrix
- 14 individually switchable report permissions
A public API for your lead partners
Providers post leads straight into the CRM with their own API key. Duplicates are rejected on the idempotency key, and the lead is assigned on arrival.
- Bearer API key issued per provider, shown once
- external_id prevents duplicate submissions
- Providers can query the status of a lead they sent
The screens your team will live in
Every screen below is part of the shipping product. Records, names and figures are sample data.
The number, before month end
Six KPI cards with period-over-period change, the three funnel conversions, monthly goal progress and the orders your team touched today.
Chasing signatures stops being a job
One Contract record serves two roles — the transport agreement and the shipper form — so an order can carry both, tracked separately.
Generated from the order
The contract and the shipper form are produced as PDFs from the order that already holds the shipper, the vehicles, the lane and the pricing.
Sent however they will read it
Email or SMS, both carrying a public link. No portal invitation, no password reset, nothing for the customer to install.
Signed in the browser
The customer reviews the terms, confirms their name and email, and signs with a finger or a mouse. The order flips to signed straight away.
Recorded properly
The signature image, the timestamp and the signer’s IP address are all stored against the order.
- Full version history, with any earlier version made current
- Resend, or send again with changed terms
- Contract text edited by an administrator — domestic, overseas and shipper form separately
What the customer sees. No account, no app — an illustrative example of the signing link.
Profit, not just activity
Seven reports run against the same records your agents work in. Gross, margin, net after lead spend, and net after salary and expenses — while the month is still open enough to do something about it.
The dashboard answers the first question of every morning
Six KPI cards, each with the change against the previous period, and each one a link straight into the list behind it. Set the date range, filter by team, and the whole page follows.

Decide exactly who sees what
Access is not a plan tier. Every module and every action carries its own visibility scope, and the same rule is enforced by the API and by the router.
None
No access at all. The API answers 403 and the page never renders.
Own
Only the records assigned to that user.
Office
Everything belonging to their office — useful for split branches.
All
Company-wide visibility, with no restriction.
The role builder
One scope per module and action. The role below is an illustration, not a default.
| Module | List | Detail | Edit | Delete |
|---|---|---|---|---|
| Leads & Quotes | office | office | own | none |
| Orders | office | office | own | none |
| Notes | all | all | own | own |
| Templates | all | all | none | none |
Roles you compose yourself
Group privileges is a matrix, not a fixed list of plans. Set a scope for every module and action, then assign the role to as many users as you like.
Enforced on the route, not just the menu
A page a user has no permission for is hidden from the sidebar and cannot be reached by typing the URL. The API refuses it independently.
Office as a first-class boundary
The office scope lets a branch operate on its own book while owners and administrators keep the company-wide view.
Reports switched on one at a time
Fourteen report permissions toggle independently, so a team lead can see sales performance without seeing company profit.
Provider keys that are never stored in the clear
A lead provider’s API key is displayed once at generation. The system keeps no plain-text copy, and a key can be reissued at any time.
Signatures and sessions on the record
Contract signatures carry a timestamp and IP address, and CRM Usage reports sign-ins, last activity, device and browser per user.
Connected where it counts
Six integrations, each doing one job well. The important one is Central Dispatch, because that is where the freight actually moves.
Marketplace
Central Dispatch
The primary integration. Listings, carrier lookup, dispatch creation and market pricing all run against the Central Dispatch APIs over server-to-server OAuth.
- Post, edit and unpost listings
- Carrier search via the Membership API
- Dispatch create, update and cancel via the Fulfillment API
- Market Intelligence for comparable load pricing
Public Lead API
Your providers post straight in
POST /api/v1/public/leads/
Authorization: Bearer lp_live_7f2a91…
Content-Type: application/json
{
"external_id": "LP-2026-44812",
"first_name": "Michelle",
"origin_zip": "33602",
"destination_zip": "75201"
}- The same external_id is never accepted twice
- Assigned to an agent the moment it lands
- Providers can query the status of a lead they sent
- Keys are shown once and never stored in plain text
RingCentral
Telephony
Send SMS from the CRM, and keep credit for the messages your agents send from the RingCentral app directly.
Google Maps
Mapping
Origin and destination are shown on a map inside the order, so the geography of a lane is visible while the order is being worked.
Google Workspace
Identity
Creating a user provisions their Workspace mailbox, and the one-time temporary password is shown to the administrator at that moment.
Email & SMS gateway
Delivery
The transport behind contract links and templated outreach, so a signature request can go out however the customer prefers to receive it.
Every seat in the brokerage, on the same record
Auto transport brokers, dispatch companies and the people who run them. Each role sees the part of the system that matches the job — and nothing that does not.
Broker / Sales agent
Works leads and quotes all day
Everything a quote needs is on one screen — the shipper, the vehicles, the lane, comparable market pricing and the templates to follow up with. Converting to an order does not mean typing any of it again.
- Lead to quote to order without re-entry
- Price Check inside the quote
- Follow-up Today tab for the day’s callbacks
- Own performance visible without asking
Dispatcher
Finds carriers and moves freight
Posting the load, searching carriers by MC or DOT and creating the dispatch all happen on the order that is already open. The marketplace stops being a second workflow.
- Post, edit and unpost Central Dispatch listings
- Carrier search by name, MC or US DOT
- Dispatch create, update and cancel
- Issues tab for anything that stalls
Sales manager / Team lead
Owns the team’s number
The dashboard answers where the team stands against the monthly goal, which stage the funnel is leaking at, and who is carrying the gross — without exporting anything.
- Six KPI cards with period-over-period change
- Lead → Quote → Order → Dispatch conversion
- Monthly gross goal with days remaining
- Per-agent gross and margin
Owner / Administrator
Runs the business
Profit is visible while the month is still open — after lead spend, after expenses, after salary — and lead budget moves to the providers that actually return a dispatch.
- Company Profit after expenses and salary
- Lead Source ROI and cost per dispatch
- Lead distribution across the floor
- Roles, scopes and report permissions
Lead providers get a seat too — not in the interface, but through the public API, where they post leads directly with their own key.
